Guidelines for Coaches and Players
1. All coaches need to check in at the PTR International Headquarters prior to any match or practice time. The PTR Headquarters are located at Van der Meer/Shipyard Racquet Club, 130 Shipyard Drive, next to the Crowne Plaza Resort. PTR Headquarters are open Sundays 2-7pm for registration but if you can’t make that time, the PTR office is open Monday – Friday from 8am – 6pm.
If you have not already done so, you will need to fill out the Coaches Information Sheet and sign your Liability Waiver which is found on the PTR website on the “Registration” page.
2. The official match schedule is on the website—
http://springtennisfest.com/schedule/ it is the match schedule that all coaches should use. All times on this match schedule indicate when your MATCH is to begin. You can arrive 30 minutes prior to match time for warmup. Please get your warm-ups done, lineups and bathroom visits and start all matches at your scheduled start time which is the time indicated on the website. All sites have Site Directors on duty during matches. Please check in with your site director upon arrival.
3. Please do not go to any sites under the name of PTR Spring TennisFest unless you are scheduled to play there.
4. All coaches should contact the opposing coach the day before the match to reconfirm any details and arrangement for balls.
5. Keep all sites clean and neat, especially when you leave. Make sure all trash is picked up and chairs/furniture are put back in place. Thank you.
6. Use only the courts that you have been assigned.
7. Coaches are responsible for proper tennis attire and proper behavior at all sites. Shirts must be worn at all times. Make sure all your players bring to each match or practice the following: rackets, shoes, change of clothes, sun screen, bug spray, ice bags, water or sports drinks in an insulated container, spending money, towel, medical needs, and sunglasses.
8. Stay strictly to your schedule and arrive at all match and practice sites at least one half hour in advance of your scheduled time. There is no such thing as playing over unless both of the other coaches have given permission for you to use their match time.
9. Please report your scores each day. If you report them before 6pm they will probably appear in the local Newspaper. All reported scores will appear on the PTR website. Please call PTR at 843-785-7244 or email
Amanda@ptrtennis.org with your team scores, not the individual matches.
10. Restringing and other racquet services are available. Please drop off racquets at Player’s World of Sports (at Fresh Market Shoppes, Hwy 278) or to PTR Headquarters before 6pm if you need the rackets before 10am the next day. Player’s World – 843-842-5100 PTR Headquarters –843-785-7244
11. If you are not going to use the practice time that has been booked for your team, please notify us.
12. The times that your matches are booked for are the maximum amount of time you have to complete your match. The time scheduled is not the time you have to use the courts, it is the time to play your match. If no one is waiting, teams may continue to use the courts, but most cases there will be a match following yours, so please exit the courts when you are done so other matches can get underway.
13. If your team is traveling to the sites in a large bus or with a large contingent of spectators, please touch base with PTR in advance in case some sites can’t accommodate large buses.
14. Arrivals at any site before 7:45am are strictly prohibited. Lights go off automatically at all sites at 10pm.
15. Practice Time – be sure you have booked your allotted practice time with PTR at 843-785-7244. Do not use a facility for practice, unless you have booked and scheduled it with PTR.
